Uploading and Viewing Student Files on the Materials Tab

Summary

This article explains the use of the Materials tab to store files on a student. Since files can't be uploaded to other tabs of a student's profile, they should all be stored here.

1. Choose the Materials tab on the appropriate student's profile.

2. Click on the listing for an existing material to preview and/or download the file.

3. To add a new file, click the "New Material" option. Fill out the fields on the popup as appropriate and then choose Upload.

A. The only option for Record is "Folio".

B. The Material dropdown allows you to indicate what the category of the file is. This is important, as other tabs on the student's profile cannot store files. When entering information on those tabs, you will be given the option to indicate you have have also uploaded supporting documentation here.

C. The Memo field allows you to leave a description or comment on the file.

D. For the Source, choose either "PDF / Document" or "File (no conversion)" to upload a file.

I. "PDF / Document" will accept a variety of file types and will attempt to convert them into a PDF which can be previewed within the system by other users.

II. "File (no conversion)" will accept any file type and store it with no preview. Other users will need to download the file to access it.

E. Use the Upload Document button to choose a file from your device to upload.
