Unable to Access the PeopleSoft Faculty Center

Faculty do not automatically get access to PeopleSoft (Faculty Center, Class Roster, Grade Roster). The Faculty members User Profile will not be created until their department adds their PeopleSoft ID to the Instructor/Advisor Table in PeopleSoft.

Overview

This article covers the situations where an individual, typically a Faculty member, but may also be staff teaching a class, is unable to access the Faculty Center in PeopleSoft.

Detail

Faculty do not automatically get access to the PeopleSoft Self Service Faculty Center.  The individuals PeopleSoft Self Service Instructor Access is not provisioned until the school/department adds the individual's PeopleSoft ID that is associated with their Account, to Instructor/Advisor Table in PeopleSoft. Once added to the Instructor/Advisor Table, the individual will then get access to the PeopleSoft Self Service Faculty Center. The individual can then access their Teaching Schedule, Class Rosters and Grade Rosters once the school adds them to the appropriate classes they are teaching for a given Term.

If unable to access the Faculty Center, possibly getting "Your User ID and/or Password are invalid" attempting to access the Faculty Center/PeopleSoft, it's most likely due to the school/department having not set the individual up as an Instructor in PeopleSoft. The individual should contact the area within their school/department that is responsible for assigning individuals to classes as an instructor to make sure the individual is set up as an instructor in PeopleSoft. The departmental contact should confirm the Instructor is set up in the Main Menu > Curriculum Management > Instructor/Advisor Information > Instructor/Advisor Table.

If the departmental contact indicates they have set the individual up in the PeopleSoft Instructor/Advisor Table, here are some common issues to check:

  • The department added the wrong PeopleSoft ID to the Instructor/Advisor Table. The departmental Responsibility Center Administrator may be able to identify the PeopleSoft ID associated with the individuals Account. This can be useful to determine that the correct PeopleSoft ID was added to the Instructor/Advisor Table in PeopleSoft.
    • The department may have added a PeopleSoft ID for a different individual of the same name.
    • The Faculty member may have duplicate PeopleSoft IDs.
  • The department can't locate the Faculty Members PeopleSoft ID.
    • The Faculty member may have academic history as a student and their PeopleSoft ID may reflect their last name as a student, and not their current last name as Faculty.
  • If the Faculty Members PeopleSoft ID was recently added to the Instructor/Advisor Table, it may take a few hours or worst case, overnight during the weekday for the individuals Account to be provisioned in PeopleSoft as a User Profile with the SS_INSTRUCTORS Role.
  • If after the departmental contact has confirmed that the individual is set up correctly in the PeopleSoft Instructor/Advisor Table and has checked the above common issues, the individual is still getting "Your User ID and/or Password are invalid", please use the Request Help button to open a ticket for further assistance. Help Desk Analyst should refer to internal KB "Your User ID and/or Password are invalid (PeopleSoft)" KB for further troubleshooting.
