OneDrive: Personal File Storage Guide

Overview

OneDrive is your personal cloud storage within Microsoft 365. It functions similarly to a "My Documents" folder but is accessible from any device and from anywhere. OneDrive is intended for files that primarily belong to you as an individual employee.

 

Appropriate Us Cases

Use OneDrive for:

  • Personal work files and drafts
  • Documents you are actively editing prior to sharing with others
  • Individual task files and personal notes
  • Files you own, even if others occasionally need access

When Not to Use OneDrive

OneDrive is not appropriate for:

  • Files that a team needs to access regularly
  • Official department or organizational documents
  • Content that should remain accessible if you leave the organization

Accessing OneDrive

OneDrive can be accessed in the following ways:

  1. Via Web Browser: Navigate to https://onedrive.com and sign in with your organizational account.
  2. Via File Explorer: OneDrive syncs to your desktop and appears as a folder in File Explorer under your name or "OneDrive – [Organization Name]."
  3. Via the OneDrive Desktop App: Available on Windows and Mac.
  4. Via Mobile App: Available on iOS and Android.
