Qualtrics Results Dashboard

Overview

The Results Dashboard in Qualtrics is a built-in reporting tool that lets you view and share survey response data in an interactive, visual format. When you open the Results tab of a survey project, Qualtrics automatically generates a dashboard with charts and tables based on your survey questions. You can then customize this dashboard, apply filters, add or edit widgets, and share results with others.

This article covers the main features of the Results Dashboard, including how to navigate the interface, manage pages, work with widgets, filter data, and export or share your results.


Accessing the Results Dashboard

  1. Log in to Qualtrics via myPitt (my.pitt.edu) and launch Qualtrics.
  2. From the Projects page, open the survey you want to review.
  3. Click the Results tab at the top of the screen.
Note: The Results tab is separate from the Reports tab. The Results Dashboard provides an interactive, auto-generated overview of your data, while the Reports tab is used for more advanced, customizable paginated reports.

Dashboard Interface Overview

When you open the Results tab, you will see your dashboard along with several controls in the toolbar at the top of the page:

Control Description
Edit (pencil) icon Enters editing mode, allowing you to create new widgets, edit existing ones, and apply page-level filters.
Settings (gear) icon Opens dashboard settings. Options include Theme (change the visual appearance) and Manage Public Dashboards (share your dashboard publicly).
Download (export) button Lets you export or share the dashboard. Options include downloading as a file, sending via email, or scheduling recurring email distributions.
Filter icon Applies filters to the entire dashboard or individual pages to narrow which responses are displayed.

Working with Dashboard Pages

Your Results Dashboard can contain multiple pages, helping you organize your data into logical sections. By default, Qualtrics generates a report page automatically when you open the Results tab.

Adding a New Page

  1. Click the page title at the top-left of the dashboard to open the list of pages. (If your page list is already pinned open, skip this step.)
  2. Click Add in the dropdown menu.
  3. Choose a page type:
    • Blank Page – Creates a new empty page.
    • Private Page – Creates a blank page that is only visible to you.
    • Report Page – Creates a new default report page with auto-generated charts based on your questions.
  4. Before the page is created, you may be prompted to configure a default metric, chart type, and other customizations.
Tip: You can also copy an existing page to reuse its layout. Click the page options menu next to the page name and select Duplicate.

Working with Widgets

Widgets are the charts and tables that display your survey data on the dashboard. When you generate a default Report Page, Qualtrics automatically creates widgets for each question. You can add, edit, move, or remove widgets at any time.

Widget Basics

  • Widgets are only editable while the dashboard is in editing mode. Click the pencil icon to enter editing mode.
  • Not every question type is compatible with every widget type. For example, a bar chart is not appropriate for an open-ended text entry question.
  • Each survey question is automatically assigned a field type (e.g., Number Set, Text Set), which determines which widgets are available for that question.

Adding a Widget

  1. Enter editing mode by clicking the pencil icon.
  2. Click Add Widget at the bottom of the page, or hover over the spot in the dashboard where you want to place a widget and click Add > Widget.
  3. Select a widget type from the menu.
  4. Configure the widget using the settings panel on the right.

Editing a Widget

  1. Enter editing mode.
  2. Open the options menu in the upper-right corner of the widget (three dots or gear icon).
  3. Select Edit to open the widget editing pane.
  4. To change the widget type, click on the current type in the editing pane and select a new type from the dropdown.

Widget Options Menu

Each widget has an options menu that provides the following actions:

Action Description
Edit Opens the widget settings pane.
Duplicate Copies the widget below the original or at the bottom of the page.
Move to Page Moves the widget to a different dashboard page. Note: Widgets cannot be moved from private pages.
Export Available for select widget types. Exports the widget data.
View Data Displays the widget data as a table or spreadsheet.
Remove Permanently deletes the widget. All configurations and filters will be lost.
Note: There is no Statistics Table widget in Results Dashboards. To replicate this functionality, create a Simple Table widget and add your desired statistics as metrics in the Metrics section.

Filtering Your Dashboard

Filters allow you to narrow the response data displayed on your dashboard. You can apply filters at the dashboard level (affecting all pages) or at the individual widget level.

Applying a Dashboard Filter

  1. Click the filter icon in the top toolbar.
  2. Select the field you want to filter by (e.g., a question response, date, or embedded data field).
  3. Define the filter conditions.
  4. Click Apply. The filter will update all widgets on the current page.

Filter Behavior

  • Dashboard-level filters apply to all widgets on a page.
  • Widget-level filters apply only to that specific widget.
  • If a widget-level filter conflicts with a page-level filter, the widget-level filter takes priority.
  • If they do not conflict, both filters are applied together.

Exporting and Sharing Your Dashboard

There are several ways to share your Results Dashboard with others.

Downloading the Dashboard

Click the download/export button in the top-right corner of the dashboard. You can export in the following formats:

Format Description
PDF Widgets are included in the PDF file.
JPG Widgets are exported as a single image.
PPTX Each widget is saved as an individual slide. You can select the option to export widgets as editable PowerPoint objects.
DOCX Widgets are saved as images within a Word document.
CSV / TSV Data from each widget is saved as text within the file.
XLSX Data from each widget is saved to columns in an Excel spreadsheet. Note: All data exports as text — you may need to reformat number or percentage fields in Excel for calculations.

Sending or Scheduling Dashboard Emails

  • Use the download/export button to send your dashboard as an email to recipients.
  • You can also schedule recurring email distributions so stakeholders receive automatic updates on a set schedule.

Sharing Publicly

  1. Click the Settings gear icon.
  2. Select Manage Public Dashboards.
  3. Enable public sharing for your dashboard.
  4. Optionally, add a password to restrict access to authorized viewers.
Important: Sharing publicly means anyone with the link (and password, if set) can view your dashboard without logging in to Qualtrics. Do not share dashboards publicly if they contain sensitive or personally identifiable respondent data.

Dashboard Settings

Click the Settings gear icon to access dashboard-level settings:

  • Theme – Customize the visual appearance of your dashboard, including colors and fonts. This works the same as CX Dashboard theme settings.
  • Manage Public Dashboards – Control whether your dashboard is available to the public and manage password protection.

Field Types and Widget Compatibility

“Mapping” refers to how Qualtrics assigns a field type to each survey question. The field type determines what kind of widget can be used to visualize that data. In Results Dashboards, each question type is automatically assigned a field type and cannot be changed.

Example: A question asking respondents to rate something on a 1–10 scale produces numeric data, which is best displayed in a chart or table. An open-ended text entry question produces text data, better suited to a word cloud or text list.

Common Error Messages:

  •  'the widget is not configured correctly, please check your widgets' - This can be fixed by creating a new page using instructions provided above. It can sometimes occur when the Report is trying to pull data from previous question versions, or questions that were deleted before the survey was finalized and distributed.
