Information Required on the Cloud Onboarding Survey
- Department/Responsibility Center (RC)
- Project Name
- Project Description
- Cloud Provider
- There may be some related questions depending on which of Azure/AWS/GCP you are requesting
- Data Criticality
- High / Medium / Low
- Explanation of each Criticality level is included in the Onboarding Survey1
- Data Source
- Public / Private / Restricted
- Decision matrix is included in the Onboarding Survey
- Mail-Enabled Technical Users CDS Group in Dept. RC
- Grants permissions into cloud-based resources

- Technical Contact
- One technical person who should be tagged on cloud-based resources with Primary Responsibility on Project
- Mail-Enabled Billing/Financial Users CDS Group
- Allows included users access to monthly billing dashboard and notifications

- Billing Contact
- One primary financial person, same as above
- UPITT General Ledger (GL) Code
- Usually in the format XX.XXXX.. or XX.XXXXX...
- The Billing Contact should be able to provide this information
- Monthly Billing Spend Alert Threshold
- e.g. if your monthly spend budget is $200 and every month as the spend on the Account/Subscription approaches $200, the Billing Group specified above starts getting notifications that you’re nearing your allotted budgeted amount of $200
- This is for visibility into the spend before it gets out of control
Mail-Enabled CDS Group Information
To address the highlighted questions above, we’ll need to reach out to one of the RC Administrators to request two mail-enabled CDS Groups be created.
The request to the RC Admin should come from you to honor the RC (Responsibility Center) designation. Once you decide on a project short name/acronym for your research, insert it into the following email template and that should be enough to get the ball rolling.
Please make sure to replace ALL the bolded items below with the information relevant to your project.
Template for RC Admins When Making Your Request

Description: Cloud Billing Dashboard access in Tableau and Consumption/Threshold Billing Alert Emails

General Ledger (GL) Code Information
The Finance/Billing Manager in the Department will likely be able to supply the UPITT General Ledger/Billing Code. This is an account number that should be used for any cloud-related charges.
Conclusion
Once you have the OK on the CDS Groups and GL Code, you should be able to proceed with the Cloud Onboarding Survey.
Once you submit the completed survey, it will generate a TDX Support Case. Pitt IT Security or Pitt IT Cloud Operations may reach out to you with any follow up questions prior to beginning the cloud environment vending process.
