Viewing Preceptor Evaluation Results in Tableau

Overview

Instead of using Elentra's built-in reports for pulling preceptor evaluation results, users can access the "Evaluation of Faculty" Tableau report to view and download results in fewer steps.

Detail

  1. Access the Tableau folder containing the report here.
     
    1. Tableau access is strictly limited to those with University of Pittsburgh accounts. If prompted to log in, use your Pitt credentials.
       
  2. The report is entitled "Evaluation of Faculty Report". When accessing, clerkship administration will only be able to view the results of preceptors associated with their clerkship.
     
  3. To access a particular preceptor's results, configure the dropdown menus at the top. Note that the report may take some time to process after each selection.

    1. First, under "Select Faculty", choose the preceptor you would like to see results for.
    2. Under "Select Form", choose the form. Typically, only forms that have results for that preceptor will be available. If a form name has parentheses around it after you choose the faculty, there are no results available for them under that form.
      1. Evaluations for the academic year 2025-2026 (approximately February through February) were submitted with the form "UPSOM Clerkship Preceptor Feedback Form".
      2. Evaluations for the academic year 2026-2027 were submitted with forms named for the type of preceptor (faculty or resident), year, and clerkship. For example, "UPSOM Clerkship Faculty Preceptor Feedback AY26-27 - Peds" or "UPSOM Clerkship Resident Preceptor Feedback AY26-27 - Psych".
    3. Enter the date range you are seeking via the "Start Date" and "End Date" fields. If you choose a range that doesn't contain enough evaluations, no results will display.
       
  4. As you select options, the displayed results will generate. To the right of the dropdown menus is a display of the total number of evaluations being factored into the report. Results are released in multiples of 3.
     
    1. For example, if a preceptor has received 11 evaluations, only the results of the first 9 will display. When they receive a 12th evaluation, all 12 will display. This helps preserve confidentiality for student evaluators.
       
  5. For scale-based questions, the number of evaluations with each answer given is displayed. The average of responses is also given.
     
    1. For example, for the question "Appropriately explained expectations and guidelines for my role", a 1 would display under "To a moderate degree" if one respondent gave that answer, while a 5 under "To a very high degree" would mean five respondents chose that. As a result, the average rounds to 4.7
    2. Most scale responses value the lowest answer as a 1 and the highest as a 5 for calculation purposes. Responses of "N/A" are not shown and are not factored into the average.

  6. Below the scale response are free text question responses, in no particular order. Not all evaluators may have left comments, so the number of comments may be fewer than the number of responses in the report.
     
  7. To export the view of a preceptor's results, click the red PDF icon near the top right of the page.

    1. This will open the "Download PDF" dialog box. To export the report exactly as it appears in the browser, do not change any options and click "Download". A PDF copy of the report will be saved to your device.
