This process will allow you to show the video within the primary PowerPoint slide instead of popping up into another window.
Why is this important? Embedding a video into a PowerPoint presentation prevents the video from popping up in a separate browser window, which can cause navigation issues when presenting under stress during your meeting. Embedding a video will simply the process.
Environment:
- Windows 11 PC
- Microsoft PowerPoint O365 Desktop App
- Utilizing YouTube as the video URL.
Process:

Open PowerPoint. Reminder, in this case we are using the O365 Desktop App version of PowerPoint.

From your PowerPoint Presentation determine which slide and where you want to embed the video. Highlight\Click the slide. In this example, we selected slide 5.

Click the Insert tab > Video > Online Videos

A pop-up will then occur. Take the URL from your YouTube video and Copy and Paste it into the address bar for the online video. Then Click Insert.

Your video will then overlay on top of your slide. In this example, slide 5.

Drag the video to the location on your slide that you would like to place your video.

Use the Resize handles in the corners of the image to adjust the size of the embedded screen.

Once in place, save your edits if needed, then just click the PLAY button over top of the video.

Congratulations! Now when you play the video it will show within your PowerPoint presentation and NOT on a separate pop-out screen. This will keep your presentation “clean” and will not require you to drag a separate window onto a screen when playing it in a hybrid call on Teams or Zoom.
Tech Tip!
Remember to share your computer’s AUDIO from within Zoom or Teams, so that the remote participants can hear your video’s sound\audio!
To do this…
Zoom

While on the call and presenting from within Zoom, click Share to share your content. Before clicking the content window, be sure to check the check box Share sound. (see image below).

Then select the Application Window you wish to share. In this case PowerPoint. The click Share again. Your remote participants will now be able to hear the sound from your embedded video. Keep in mind that they will hear ALL sound from the computer.

Teams

While on the call and presenting from within Teams, Click Share to share your content. Before selecting a content window to share, click\slide the “Include sound” toggle switch.

Then select the Application Window. In this case PowerPoint. Your remote participants will now be able to hear the sound from your embedded video once it is played. Keep in mind that they will hear ALL sound from the computer.
