Missing Grade Roster for a Class or Missing Option to Approve

Issue

This article provides information on causes and possible solutions for Faculty and/or class instructors either missing a Grade Roster for a class or if they have access to the grade roster but unable to set Grade Roster Action to Approved.

Resolution

Possible Cause: The school/department did not add the Instructor to the class, or the incorrect PeopleSoft ID was added as the Instructor (an individual with same name, but not the correct PS ID for the Instructor)

Resolution for Cause: Instructor should contact the school/department to make sure they are assigned as the Instructor for the class.

School/Department Admin Instructions

If needed, the departmental Responsibility Account Administrator should be able to look up the instructors Account to see what their PeopleSoft ID is: Find Your Current Responsibility Center (RC) Account Administrators

Within PeopleSoft, navigate to Main Menu > Curriculum Management > Schedule of Classes > Schedule Class Meetings

Look up class in question, making sure the correct Term, Subject, Catalog Nbr and Class Section are selected.

On the Class Instructor tab, within Instructors For Meeting Pattern, confirm the instructor ID and Name is listed, and that the Access field is set appropriately.

  • Access=Approved (Instructor can access the grade roster, enter grades, and approve)
  • Access=Grade (Instructor can access the grade roster, enter grades, but not approve)
  • Access=blank (Instructor will not have access to the grade roster)

Possible Cause: The Instructor was added to the class, but access to the Grade Roster was not specified.

Resolution for Cause: Instructor should contact the school/department to make sure they are assigned as the Instructor for the class with the appropriate access to the Grade Roster.

School/Department Admin Instructions

Within PeopleSoft, navigate to Main Menu > Curriculum Management > Schedule of Classes > Schedule Class Meetings

Look up class in question, making sure the correct Term, Subject, Catalog Nbr and Class Section are selected.

On the Class Instructor tab, within Instructors For Meeting Pattern, confirm the instructor ID and Name is listed, and that the Access field is set appropriately.

  • Access=Approved (Instructor can access the grade roster, enter grades, and approve)
  • Access=Grade (Instructor can access the grade roster, enter grades, but not approve)
  • Access=blank (Instructor will not have access to the grade roster)

Possible Cause: The incorrect Term is selected.

Resolution for Cause: On the Faculty Center, My Schedule page, confirm the correct Term is showing, noting Fall, Spring and Summer, and the Academic Calendar Year. If the Term displayed is not correct, select the Change Term button to switch to the desired Term.

Possible Cause: The Grade Roster has not been generated for the class.

Resolution for Cause: Check the Office of the University site for information on Grade Deadlines. There should be information on Grade Deadlines for the applicable Term. Based on the Term and Session associated with the class in question, check the Earliest Date Available, which indicates the earliest date the Grade Roster will be available for the Term and Session associated with the class in question. 

School/Department Admin Instructions

  • Within PeopleSoft, navigate to Main Menu > Curriculum Management > Schedule of Classes > Schedule Class Meetings
  • Look up class in question, making sure the correct Term, Subject, Catalog Nbr and Class Section are selected.
  • On the Meetings tab, the Session can be found within the Class Sections details.

Possible Cause: The school/department added the Instructor to the class but set the Grade Roster access to Grade, or multiple instructors are assigned to the class and another individual has been designated to approve the grade roster once all grades have been entered.

Resolution for Cause: Instructor should contact the school/department to determine if another instructor is designated to approve the grade roster or if their Grade Roster access should be changed from Grade to Approve.

School/Department Admin Instructions

Within PeopleSoft, navigate to Main Menu > Curriculum Management > Schedule of Classes > Schedule Class Meetings

Look up class in question, making sure the correct Term, Subject, Catalog Nbr and Class Section are selected.

On the Class Instructor tab, within Instructors For Meeting Pattern, confirm the instructor ID and Name is listed, and that the Access field is set appropriately.
