Issue
This article provides information on causes and possible solutions for Faculty and/or class instructors not being able to change a students Roster Grade on a Grade Roster. Upon attempting to change a student's grade on the Grade Roster, the Roster Grade is not editable.
Resolution
Possible Cause: The Grade Roster has been posted already.
Resolution for Cause: If the Grade Roster Action, Approval Status is Approved, and the Official Grade column for all students is populated with a grade, a Grade Change Request must be submitted to process the grade change. Navigate to Main Menu > Self Service > Faculty Center > Grade Change Request > Grade Change Request.
Faculty and department chairperson can begin this process of submitting a student grade change requests by following the steps located on the Office of the University Registrar site:

Possible Cause: The Grade Roster Action, Approval Status is set to Ready for Review.
Resolution for Cause: If the Grade Roster Action, Approval Status is Ready for Review:
- Change the Approval Status to Not Reviewed. This will allow access to the Roster Grade again.
- Change the grade for desired student.
- After all Roster Grades are set as desired, change the Approval Status back to Ready for Review if you are not ready for the Grade Roster to post, or change the Approval Status to Approved if you are now ready for the Grade Roster to post.
- Click Save.
If unable to change the Grade Roster Action, Approval Status back to Not Reviewed, it's possible that multiple instructors have access to the Grade Roster with some having only Grade access to the Grade Roster while others have Approve access. Only those with Approve access can change the Approval Status back to Not Reviewed (If the Grade Roster is not yet Posted.) This scenario is more common when multiple instructors are assigned to the Grade Roster so grades can be entered by one or more instructors but only select instructors can Approve. The intention here is usually the ones with Grade access are just supposed to enter grades for their subset of students and leave the Approval Status set to Not Reviewed. Once all grades have been entered, one of the individuals with Approve access would review the grades entered and set the Approval Status to Approved.
Possible Cause: The Grade Roster Action, Approval Status is set to Approved, but the Grade Roster has not been posted yet.
Resolution for Cause: If the Grade Roster Action, Approval Status is Approved but the Grade Roster has not been posted yet (Official Grade column does not contain a grade for all students):
- Change the Approval Status to Not Reviewed. This will allow access to the Roster Grade column again.
- Change the grade for desired student.
- After all Roster Grades are set as desired, under Grade Roster Action, change the Approval Status back to Approved
- Click Save.
