How to Add an Employee to the Instructor/Advisor Table in PeopleSoft

Overview

The purpose of this article is to explain how to add an employee to the Instructor/Advisor Table in PeopleSoft.  Adding an employee to the instructor/advisor table will automatically grant them PeopleSoft self-service access in the capacity of an instructor or advisor.  Please note, not everyone has the ability to add someone to the instructor/advisor table.  Generally speaking, there is a designated person in each department that has the capability of performing this task.  You must have the PeopleSoft role, SR_INSTRUCTOR_ADVISOR_ASSIGN, to do this.  

 

Detail

  1. In PeopleSoft, navigate to Main Menu > Curriculum Management > Instructor/Advisor Information > Instructor/Advisor Table.
  2. Enter the employee's PeopleSoft ID number in the ID field and click Search.
  3. The required fields (indicated as such by an asterisk icon *) need to be completed:
    • Instructor/Advisor Table tab
      • Effective Date
      • Status
      • Instructor Type (Advisor Only if just an Advisor, or Instructor)
      • Academic Institution (UPITT)
      • Primary Acad Org (UPITT)
      • Instructor Available (Available if active. If no longer an instructor, i.e. no longer with the University, set to Unavailable) 
      • Advisor Checkbox (checked if also an Advisor)
      • Academic Career
    • Approved Courses tab
      • Acad Org

NOTES:

  • When updating the Instructor/Advisor Table, if updates are needed on both the Instructor/Advisor Table and Approved Courses tabs/pages, both must be updated before clicking Save.
  • The Effective Date of the Instructor/Advisor Table update must be equal or prior to the start date of the Term associated with the class you are assigning the instructor to. For example, if you are assigning the instructor to a Fall Term class, the Effective Date of the Instructor/Advisor Table update must be equal or prior to the start date of the Fall Term.
  • In order to assign instructors to a class, the Academic Organization associated with the class on Maintain Schedule of Classes, should be specified on Approved Courses tab of Instructor/Advisor Table.
  • An instructor may exist in PeopleSoft with a different last name, or you may find multiple individuals in PeopleSoft with the same name. If you are unable to locate the employee's PeopleSoft ID number, contact your departments Responsibility Center Administrator to see if they can look up the instructor in Accounts and confirm the instructors PeopleSoft ID - Find Your Current Responsibility Center (RC) Account Administrators

The purpose of this article is to explain the process of requesting a PeopleSoft ID be created for a non-PittWorx employee or a PittWorx employee that does not have a PeopleSoft ID.
